How does the pre-order window work?+
We open the pre-order window as soon as the federation confirms the running order. Every pre-order is logged in Supabase together with your payment status, so once you land backstage our photographers already know who has priority for stage-side delivery. We close the window 24 hours before the first category hits the stage so the on-site team can print the final checklists.
Can I upgrade from photos to the combined photo + video package later?+
Yes. Pay for photos first and then request an upgrade in the order portal. The system recalculates the difference based on the current pricing table and charges only the delta once our team approves the request.
What happens if I type my name differently than in the blue book?+
No worries—every order stores both the typed name and a normalized variant we match against the federation start list. If something still does not match we run an automatic similarity check (the same one we use in the admin dashboard) and contact you before the files are sent.
Do I need to know my start number or category?+
You only need your name and the competition you are competing in. Once we ingest the official results we link your order to all categories you entered, so you always receive 100% of the material without having to list each category manually.
How fast do online payments sync?+
Stripe, Apple Pay, Google Pay and PayPal payments flip to "paid" within seconds. Bank transfers are reserved for five business days and require manual approval from our finance lane so please upload the confirmation in the order portal to speed things up.
Can I pay in a different currency on-site?+
Yes. Offline registrations let you pay in EUR, USD or the local federation currency. The cashier records the converted amount right in the tablet form so the Supabase record always shows the amount we actually received.
Will I get an invoice for my accounting?+
Every order generates a PDF receipt with the legal entity details of EastLabs Photo & Video. You will find it in the order portal alongside the payment status and delivery timestamps so you can download it anytime for your accountant.
What if I never receive the payment confirmation email?+
Check your spam folder first. If it is not there, open eastlabs.photo/orders and request a new magic link. That link verifies your email ownership and lets you resend every transactional email tied to your orders.
How long do you store my files?+
Photos and videos stay on our Google Drive for a minimum of three months and up to one year depending on the season. Download them as soon as you receive the link because we regularly archive old competitions to free up space for upcoming events.
When do you start sending the footage?+
Photo edits begin once the show wraps for the day. Videos take a little longer because we sync audio and stage cues. Expect preview links within 72 hours for standard shows and up to 10 days for Arnold/World Championships scale events.
Do you retouch or apply filters?+
We deliver clean, color-balanced material so you can apply your own creative look. Stage lightning changes every minute and the factory-grade workflow would slow down deliveries if we tried to retouch every single frame.
Can I request RAW files?+
RAW delivery is limited to federation media partners under individual contracts. Athletes receive high-resolution JPEG photos and 4K ProRes LT videos that are ready for social or TV broadcast with minimal color work.
What if I compete in multiple shows on the same weekend?+
Place one order per competition so we can tie each set to the correct stage schedule. You can reuse the same email and payment method—our dashboard automatically groups them in your portal view.
Can a coach manage orders for the whole team?+
Absolutely. Coaches can submit bulk orders with athlete rosters and a single payment. We then split them on the back-end so each athlete receives an individual delivery email while the coach keeps the aggregated invoice.
How do I change my email or spelling after submission?+
Use the change request tab inside the order portal. We send you a confirmation email with a secure token—once you approve it, the data updates everywhere, including the Google Sheets trackers the editors rely on.
Can I cancel and get a refund?+
Full refunds are available until the athlete briefing starts. After that we can only refund if you did not step on stage or if we failed to deliver within 14 days after the last show day. All refunds are processed via the original payment method.
How are offline orders synced with the online system?+
The registration tablets push orders straight into Supabase using the same schema as the online form. Cash or terminal payments are marked as paid immediately so both the finance log and the on-site crew see the same data seconds later.
Do you ever stop selling after the show?+
We keep the order form online until the Google Drive links expire. After that the archive moves to cold storage and orders are subject to availability because we might have to re-export footage from backup arrays.

What is the difference between ORDER and PRE-ORDER tags?+
PRE-ORDER events are future competitions where you can secure coverage upfront. ORDER tags mean the show is already running or wrapped, but we still have photographers and editors working through the footage so you can purchase retroactively.
Can I embed the videos on my sponsor’s website?+
Yes, every delivery includes a shareable link plus a download file you can host yourself. Attribution to EastLabs Photo & Video is appreciated but not mandatory for sponsor reels.
